Setting up Mailing Lists and Segments

Users with Editor (or Author*) rights can send mass emails to the D207 mailing lists.

[*With Author rights, you can only edit your own posts, so we’d need to see if it has enough flexibility for the role]

The mailing list can be the full D207 list, or a ‘segment’ that has been pre-assigned, such as D207 officers. Whether it is the full list or a segment, we will need to periodically update the list to take into account new members and people taking on new officer roles, etc.

RSVPMaker Email List window

To start, choose RSVPMaker Email List from the RSVP Email… menu

Add Segment/Emails via Copy/Paste into Page

1 If needed add a New Segment - type in name in edit field and press Add

2 Add emails

a Using a list in Excel or similar copy the list of emails and paste into the 3. Copy-Paste area. In the example below the first and last names are not included, just the email address (which have been hidden for privacy purposes). So far we have not been personalizing emails.

b Select the Segment you want to tag the users with - use General List if just want them on the main list. All emails end up on the general list either way.

c Press 'Save Changes' - the segment is now available for use

Add Segment/Emails via CSV File

This time a file upload will be used - if a segment is needed this is also included in the file - the List segment choice on the page seems to be ignored.

All emails are added to the General List. If a user has unsubscribed earlier from any D207 email then they are not added back to the General List and they will be flagged with a comment in the Segment list view. That email address will not be sent a General or Segment email until they are resubscribed.

Typically some spreadsheet manipulation will be required to get the columns in the correct order

The final spreadsheet should just contain these headings - the exact text in the headers doesn't seem to matter.

  • To add emails to a segment (5 headings): Email, first_name, last_name, active, segment
  • To just add emails to main list (3 headings): Email, first_name, last_name

Delete any unneeded emails - such as Prison club member mailboxes (emails start with 'prisons+').

Examples-

To just add emails to the General List format 3 columns by deleting unneeded columns in the original file and cutting and pasting columns into correct order. First and last names can be blank if not known.

or for Segments add Active (=1) and Segment columns

Save as a CSV file - in Excel this is: File - Save As - CSV

To load the data select the CSV file with the Choose File button in the RSVPMaker Email List window and press Save Changes. The changes will be reflected in the list at the bottom of the screen - use the Segment filters to look at a single list.

Deleting a Segment label

To be added once we find out how to do it!
